These Terms & Conditions (“Terms”) govern your access to and use of the SynapHR website, platform, and services (“Service”). By accessing or using SynapHR, you agree to be bound by these Terms.

If you do not agree, please do not use the Service.

1. Definitions

• “SynapHR,” “we,” “our,” “us” refers to SynapHR and its affiliates.

• “User,” “you” refers to any individual or entity using the Service.

• “Customer Data” refers to HR, employee, candidate, and time-tracking data uploaded or generated through the platform.

2. Eligibility & Account Registration

You must:

• Be at least 18 years old

• Have authority to bind your organization

• Provide accurate, current account information

You are responsible for maintaining the confidentiality of login credentials and all activities under your account.

3. Use of the Service

You agree to use SynapHR only for lawful business purposes. You must not:

• Misuse or interfere with platform functionality

• Upload unlawful, misleading, or harmful content

• Attempt to reverse engineer or copy the platform

• Use the Service to violate employment or data protection laws

SynapHR reserves the right to suspend accounts that violate these Terms.

4. AI & Automated Decision Support

SynapHR provides AI-driven insights, recommendations, and automation to assist HR operations.

• AI outputs are advisory, not deterministic

• Final hiring and employment decisions remain the customer’s responsibility

• Customers are responsible for ensuring fair, lawful, and compliant use of AI tools

5. Customer Data & Responsibilities

Customers retain full ownership of their data.

You are responsible for:

• Lawful collection and use of candidate and employee data

• Providing required notices and obtaining necessary consents

• Ensuring data accuracy and compliance with local regulations

SynapHR processes data solely as a service provider.

6. Data Security & Privacy

SynapHR implements industry-standard security measures including encryption, access controls, and monitoring.

Our data practices are governed by our Privacy Policy, which forms part of these Terms.

7. Subscriptions, Billing & Payments

• Certain features require a paid subscription

• Fees are billed monthly or annually as agreed

• Payments are non-refundable unless otherwise stated

• SynapHR may update pricing with prior notice

Failure to pay may result in service suspension or termination.

8. Integrations & Third-Party Services

The Service may integrate with third-party tools.

SynapHR is not responsible for:

• Availability or functionality of third-party services

• Data practices of integrated platforms

Use of third-party services is subject to their respective terms.

9. Intellectual Property

All platform content, software, designs, and trademarks are the exclusive property of SynapHR.

You are granted a limited, non-transferable, non-exclusive license to use the Service during your subscription period.

10. Service Availability & Modifications

We strive for high availability but do not guarantee uninterrupted service.

SynapHR may:

• Update or modify features

• Perform maintenance

• Discontinue features with reasonable notice

11. Termination

Either party may terminate the agreement:

• Customers may cancel at any time

• SynapHR may suspend or terminate access for breach of Terms

Upon termination, access to the Service will end, and data may be deleted according to retention policies.

12. Limitation of Liability

To the maximum extent permitted by law:

• SynapHR is not liable for indirect, incidental, or consequential damages

• Total liability will not exceed the amount paid by the customer in the previous 12 months

13. Indemnification

You agree to indemnify and hold SynapHR harmless from claims arising from:

• Misuse of the Service

• Violation of laws or third-party rights

• Improper handling of customer data

14. Governing Law

These Terms are governed by the laws of [Insert Jurisdiction], without regard to conflict of law principles.

15. Changes to These Terms

We may update these Terms periodically. Continued use of the Service constitutes acceptance of the updated Terms.
